If the books are badly behind, resist the urge to start fixing, deleting or recoding transactions just so things look cleaner.

Instead, gather what you still have.

Bank Statements For every account used by the business.
ATO Correspondence Especially anything showing overdue lodgments or periods.
Payroll Records If employees have been paid during the missing periods.
Your Accounting File Even if you think Xero or MYOB is a complete disaster.

Don't tidy the evidence before we see the evidence. What is already there can help us work out what happened.

Work Out Whether the Books Can Be Trusted

A Xero or MYOB file can contain plenty of transactions and still not give us reliable numbers.

  • Do the bank accounts reconcile?
  • Are transactions missing or duplicated?
  • Has GST been treated correctly?
  • Does payroll agree with the bookkeeping?
  • Are old balances still sitting in the file?
  • Are supporting records missing?
We don't rely on figures until we know what sits behind them.

Reconstruct the Missing History

Sometimes the bookkeeping cannot simply be β€œcaught up.” Parts of the financial story have to be rebuilt.

  • Bank and credit-card statements
  • Supplier bills and receipts
  • Customer invoices and payments
  • Payroll and STP records
  • Previous BAS lodgments
  • The existing Xero or MYOB file
This is where catch-up bookkeeping becomes detective work.

Once the underlying bookkeeping is in a position that can be relied upon, the outstanding BAS-related work can be dealt with.
