FREELANCE BOOKKEEPER AUSTRALIA

One Bookkeeper Can Be Flexible. But Is One Person Enough?

A freelance bookkeeper may be exactly what a small business needs—or the business may already need registered BAS Agent oversight, reliable coverage and a bookkeeping team. The right choice depends on the work, not the job title.

START WITH THE WORK

“Freelance” describes how they work—not what they are qualified to do.

A freelance bookkeeper is an independent person who provides bookkeeping services to businesses rather than working as their employee. They may work remotely, visit a client occasionally or provide help for a particular project.

Some freelancers are highly experienced registered BAS agents. Others provide straightforward bookkeeping or data-entry support. That is why the question is not simply, “Should I hire a freelancer?” It is, “Does this person have the registration, experience, availability and checking process required for my file?”

Choose the support around the obligations in your business—not around the cheapest title on an invoice.
WHAT A FREELANCE BOOKKEEPER MAY DO

The work can range from routine processing to registered BAS services.

Bank reconciliations

Matching bank and credit-card activity to the accounting records and investigating differences.

Accounts payable

Entering supplier bills, maintaining documents and preparing payment information.

Accounts receivable

Raising invoices, allocating payments and following up outstanding accounts.

Payroll support

Processing pay runs and maintaining payroll records, with registration requirements depending on the service provided.

Bookkeeping clean-up

Tracing old transactions, correcting records and bringing reconciliations up to date.

BAS services

Providing GST, PAYG, BAS and related services when appropriately registered or working under a lawful arrangement.

FREELANCER OR BOOKKEEPING FIRM?

Both can be excellent. Their operating models are different.

A freelance bookkeeper may offer

  • One direct relationship
  • Flexible or project-based assistance
  • Specialised knowledge of a particular industry or platform
  • A good fit for a small, stable workload
  • Simple communication with the person doing the work

A bookkeeping firm may offer

  • Coverage when one person is unavailable
  • Documented procedures and review points
  • A broader mix of bookkeeping experience
  • Capacity as transaction volume grows
  • Registered BAS Agent oversight where required

A firm is not automatically better, and a freelancer is not automatically riskier. The important difference is whether the service model can consistently meet your deadlines, protect access to the file and provide the required professional oversight.

CHECK THE BAS AGENT REGISTER

Bookkeeping and BAS services are not interchangeable.

Ask one direct question

“Will any part of this work involve interpreting or applying a BAS provision for my business?”

The Tax Practitioners Board explains that services involving GST coding, activity-statement figures, PAYG withholding and certain payroll or superannuation matters can be BAS services. A person providing BAS services for a fee must generally be registered, or provide them through an arrangement permitted by the law.

Routine data entry and bank reconciliation do not automatically become BAS services. The registration question depends on what the person is actually doing and whether the business relies on that work for its BAS obligations.

Check the provider on the TPB Register and clearly document the agreed scope.

WHEN A FREELANCER CAN WORK WELL

A capable independent bookkeeper can be a strong fit.

A freelance arrangement may suit a business with a manageable volume, clear processes, dependable internal contacts and a scope that one person can deliver consistently.

The work is clearly defined

Everyone knows which tasks are included, who approves payments and who is responsible for BAS and year-end matters.

The bookkeeper has the right experience

They understand your accounting platform, industry workflow and the particular records your business must maintain.

There is a continuity plan

Access, deadlines and procedures are documented so the business is not locked out when the bookkeeper is unavailable.

WHEN ONE PERSON MAY NO LONGER BE ENOUGH

Growth changes the kind of bookkeeping support the business needs.

Deadlines depend on one diary

BAS, payroll or supplier work stalls whenever the bookkeeper is sick, away or overloaded.

No one reviews the file

Recurring coding errors continue because the person processing the work is also the only person checking it.

Payroll has become complicated

More employees, awards, allowances, leave and superannuation create a larger compliance workload.

Reports are driving decisions

Owners need dependable monthly figures—not accounts repaired only when the BAS or tax return is due.

The business is adding entities

Related companies, trusts, loans and shared costs need consistent treatment across multiple files.

The backlog keeps returning

Repeated catch-up work suggests the business needs an ongoing system rather than another short-term rescue.

BEFORE YOU ENGAGE ANY BOOKKEEPER

Ask questions that reveal how the work will actually be delivered.

  • What work is included in the engagement?
  • Are you a registered BAS agent?
  • Who reviews GST and payroll coding?
  • What happens when you are unavailable?
  • Who owns and controls the software access?
  • How are documents stored and protected?
  • How often will accounts be reconciled?
  • What reports will I receive each month?
  • How are errors and corrections documented?
  • Can the service grow with the business?
PRICE NEEDS CONTEXT

An hourly rate does not tell you the cost of the outcome.

Freelance bookkeeping prices vary according to experience, registration, software knowledge, complexity, location and whether the work is routine, overdue or urgent. Comparing hourly rates without comparing scope can be misleading.

Ask what will be completed, how often it will be reviewed, whether BAS services are included, what happens when records are incomplete and whether time spent correcting old errors is additional. A higher hourly rate can cost less overall when the work is accurate, efficient and complete.

FREQUENTLY ASKED QUESTIONS

Freelance bookkeeper FAQs

What is a freelance bookkeeper?+🐰

A freelance bookkeeper is an independent service provider rather than an employee. They may provide regular, casual or project-based bookkeeping support to one or more businesses.

Does a freelance bookkeeper need to be a registered BAS agent?+🐰

It depends on the services provided. A person who provides BAS services for a fee must generally be registered or operate through a lawful arrangement. Routine data entry and bank reconciliation do not automatically require BAS agent registration.

Can a freelance bookkeeper prepare and lodge my BAS?+🐰

They can when they are appropriately registered and the service falls within their scope. Confirm their details on the Tax Practitioners Board Register before engaging them.

Is a freelancer cheaper than a bookkeeping firm?+🐰

Not necessarily. Compare the full scope, experience, review process, availability and time required—not only the hourly rate.

What happens if my freelance bookkeeper is unavailable?+🐰

Agree on a continuity plan before work begins. The business should retain appropriate software access, know upcoming deadlines and have clear records of the procedures being followed.

Should the bookkeeper have their own Xero login?+🐰

Yes. Each user should normally have their own access rather than sharing credentials. Permissions should match the work being performed and be reviewed when the engagement changes or ends.

When should I move from a freelancer to a bookkeeping team?+🐰

Consider team support when deadlines, payroll, multiple entities, transaction volume or reporting requirements exceed the dependable capacity of one person.

Can My Great Bookkeeper take over from a freelancer?+🐰

Yes. We can review the current file, identify outstanding work, establish access and agree on a practical transition without assuming the previous bookkeeper did anything wrong.
